Guide
This guide aims to get you started by taking you through the steps involved in setting up and running a typical resource. We recommend printing it and following the steps one by one. If anything is unclear or needs further explanation please email us at

Step 1: Register and Sign in
Go to the
Register
page, enter your name and email and click register.
Once you have received your password by email, go to the
Sign in
page, enter your password and click "Sign in".
You will initially be taken to the
Bookings
page. No bookings will be shown yet and we will come back to this page later.
Step 2: Account details
Select the
Account
page at the top left
You've just registered so your name and email are probably as you would like them. It might be worthwhile at this stage setting your 4 digit password to be a more memorable one than we gave you. Remember to click "Save" if you change it.
Step 3: Settings for your resource
That's it for the account details, lets move onto the
Settings
page. This page lets you adjust miscellaneous settings for your resource.
As you may have noticed on the previous page, hovering over each of the items gives you a detailed description of what they mean. Take a look through to familiarise yourself with the settings.
Step 4: The Days page
Now move on to the
Days
page.
This page allows you to define what schedules apply to which days. When you have just registered, the weekdays are all assigned to the "Weekday" schedule, Saturdays are assigned to the "Weekend" schedule and Sunday is marked as closed.
You can also assign a schedule to a particular bank holiday by clicking the "Bank" button. There is also a generic item called "Bank Holidays" which will apply to any bank holidays that you don't individually define. These settings will apply on that Bank Holiday every year going forward.
Finally you can assign a schedule to a specific date by clicking the "Date" button. For example, if you know you will be closed for repair next Tuesday, then click "Date" to add that date, and set it to be Closed.
Step 5: The Schedules page
Now move on to the
Schedules
page which lets you define and add the schedules that you have been assigning to days on the previous page.
At the top is a drop list box containing the schedules that have been defined. Feel free to take a look at each.
For each schedule, you can set a minimum and maximum booking duration.
The lower part of the page shows a representation of the 24 hours in a day. Here you can set your opening times, and the times at which bookings can start. Try clicking on a few squares, and start times to toggle the values. Your changes are only saved if you click save.
The help box on the right contains some preset values to help you fill this out. Try some out, the values are only saved if you click save before leaving this page.
Step 6: The Customers page
Now lets move on to the
Customers
page.
Here you define the information we get from your customers when they make a booking. The information is asked for every time a booking is made by phone or on the internet, so should be kept to the minimum required. If you require different information, please

If you have a list of valid ID numbers, you can send them to us to validate against. If you would like us to provision your ID numbers, and optionally add a password, then again, please
let us know
.
Step 8: Make a booking by phone
Now lets make a booking by phone. Select the
Access
page.
To make a booking, it's probably best to note down the following items - the number and access code from this page, and your account password.
This information is only required when you are setting up your resource. When you go live you will get a new number and callers will go straight through to your booking line.
With the information you need written down, please now move to the
Bookings
page.
Call the number, and when prompted, enter your five digit access code, and password. From then on, you will experience what your customers will experience.
When asked for a date, try "tomorrow" (unless it's Saturday, in which case saying "Monday" would be a better option).
When asked for a time say "Nine A.M."
Finally, when asked for a duration, say 1 hour.
Great, you've made your first booking, and within a few seconds it should appear on the Bookings screen.
Click on it to view it's details.
Now try it out some more, make some bookings when you're closed, or try booking at the same time as your previous booking.
As the administrator, you, can use this screen to delete or modify any bookings.
Step 9: Creating a welcome message
Go back to the
Access
page and click on the Welcome Message tab.
Call in and give the access code shown and your password. Then follow the instructions to record a welcome prompt.
Go to the
Settings
page, check the box marked "Recorded Welcome" and click "Save".
Finally call into your booking line and hear your new recorded welcome. If you have a jingle or sound effect already, please email it to us and we will put it in place.
Step 10: Enable a web site to take the bookings
Back on the
Access
page, if you click on the tab marked "Website", then you'll see the URL that you can publish that will allow your customers to make bookings on the internet.
If you follow the link, you'll see it leads to the same bookings page
You customers are only allowed to view or change their own bookings (and only if you have turned reference numbers on).

Step 11: Set up your own Resource
Play around with the system and all the settings.

Then setup your own resource to your requirements and test it out as explained above.
Step 12: Activate the system and go live
Once you're happy with your setup, you will need to
contact us
.
We will then find out your requirements for a phone number and work out the best method for giving you a new number or redirecting your existing number.
Then you can sit back and relax as your booking requirements are all handled by us.
